Introduction
This Privacy Policy describes how and what types of information we collect or that you may provide when you download, create an account on, access, or use the Aline CRM Mobile Application (the “App”) that links to this Policy. The App helps our Customers manage the CRM Software Services (collectively, the “Services”) for which they have a license to use, as well as manage their businesses and customer relationships. The App and the Services are intended for commercial use and made available under a Master Software and Services Agreement and applicable Order Forms (collectively, the “Customer Agreement”) either directly with you or with your company or employer as the licensee. Each user of this App must be authorized by the Customer in order to create an account on this App. If you or your company have not entered into a Customer Agreement with us to use the Services, then you should not download this App.
A reference to “Aline,” “we,” “us,” or the “Company” is a reference to Aline Ops, LLC, and its affiliates, including, without limitation, One on One Sherpa, LLC, Roobrik, Inc., and Grove Menus, LLC. “Customer” means the entity that subscribes to the Services under a Customer Agreement with us and through whom you, the end user of such Services, are provided access to the App and Services. We use the term “Personal Data” to mean information that identifies or relates to an identifiable individual. (Note: The terms “personal data” and “personal information” may be defined differently under the law of the state or country in which you reside. See this Policy’s section on Your Rights Relating to Your Personal Data.) “Customer Data” is Customer-owned information that, as between Customer and Aline, originates with the Customer or that Customer and its authorized users input into the Services and App, exclusive of Content and Non-Aline Applications. Customers have a right to access Customer Data in the App and Services, which may include Personal Data. (See this Policy’s section on Customer Data & Data Controller/Processor.)
This Policy applies only to information we collect in the App, the Services, and in any electronic communications you have with us through or in connection with this App or the Services. This Policy does not apply to information that we collect offline or on any other Company services, applications, or websites that you may use or access outside of the Services and the App. This Policy also does not apply to information obtained by Aline from publicly available sources or its third-party content providers (“Content”) and any Web-based, mobile, offline or other software application functionality that interoperates with the Services that is provided by a Customer or a third party and/or listed on an online directory, catalog or marketplace of applications that interoperate with the App or Services (“Non-Aline Application”). You should refer to the privacy policies specific to other Company applications and any Non-Aline Application to understand how your information may be collected and used by those applications.
This Policy DOES NOT apply to information that is collected by any third-party websites, apps, or content outside of the App. This Policy also does not apply to data entered into the App or Services that the Customer has provided to a third party to process. You should refer to the privacy policies specific to such third parties to understand how they collect and use your data.
If “consent” is required by the state, territory, or country in which you are using this App, your acceptance of the Terms of Use together with downloading, creating an account, and using this App, will be deemed as your consent to the collection and use of your Personal Data for all purposes detailed in this Policy unless applicable law requires a different form of consent. If you do not agree with the data collection uses and practices described in this Policy, you should discuss this with the Customer (your company or employer), or do not download, create an account, or use this App. You should read this Policy carefully to understand our policies and practices regarding Personal Data and how we handle it.
- The Types of Information We Collect & Process
When you download, create an account, access, or use this App, we collect certain Personal Data, such as your name, username, password, email address, physical address, phone number, date of birth, affiliated Customer and job title, and other information that you provide to us. We may collect other information from your device or browser such as device information, usage data, and App analytics that may or may not identity you depending on the device you are using. The categories and types of information we collect and process in the App pursuant to the Customer Agreement with the Customer are described further below.
- Information You Provide to Us
We collect and process Customer Data that may include Personal Data that you provide to us directly in the App, including the following types of information:
- Account Set-Up Information. When you create an account on our App, we ask you to provide the following information that may be used to identify you:
- Email Address. This is the email address associated with your business or the email address assigned to you by the Customer.
- Phone number. This is the cell phone number of the device you are using to access the App.
- Username. Your Username is the same as your Email Address above.
- User ID. This is an internal ID associated with your Username.
- Password. The password for your access to the App is stored using encryption technology to prevent unauthorized access to the App. We cannot access your password or provide it to you if you forget it.
- Information on your device that you give us permission to collect. The App will ask your permission before accessing data stored on your device. Such data is typically associated with using certain features of the App. Any data you give us permission to collect is part of Customer Data and may include Personal Data. The App needs your permission to access data stored in the following device applications:
- Files and folders. The App needs your permission before you can upload documents, PDFs, and other files stored in the memory of your device.
- Media. The App needs your permission before you can submit user-generated content that is stored on or created through your device, such as photos, videos, audio recordings, music files, contacts, and calendar information. User-generated content that you provide to the App is Customer Data and is described in further detail at the end of this Policy in Customer Data & Data Controller/Processor.
- Camera. The App needs your permission to access the camera on your device before you can use the App’s video chat feature or take pictures from within the App.
- The App needs your permission to access the microphone on your device before you can use the App’s call-recording feature and receive a transcript or summary of a call you make with your device.
- The App needs your permission to collect the precise geolocation data from your device.
- Metadata in Stored Information and Files. The App may have access to “metadata” associated with any information associated with the files and other data that you choose to input or upload to the App and that are stored in the above-listed device applications. This metadata, which may include Personal Data, includes timestamps, device types, IP addresses, location, and app usage. The files and data containing metadata include, but are not limited to, photographs, audio and video recordings, personal contacts, address book information, calendar information.
- Other Information You Provide To Us. Other information that you provide to us that may include your Personal Data includes:
- User Contributions. The App has features allowing you to enter your own notes and to correspond with other App users (“User Contributions“). The content you include in User Contributions may be transmitted to other App users. User Contributions constitute Customer Data. Any decision to include your Personal Data in User Contributions is yours alone. We cannot control how other App users or the Customer will use or reshare any Personal Data that you include about yourself in User Contributions. Accordingly, we cannot and do not guarantee that your User Contributions will not be viewed by unauthorized persons.
- Communications with us. We also collect data that you provide to us during the course of communications with us, including interactions with customer support.
If you do not want us to access or collect any of the above information from you or your device, then discuss your concern with the Customer (your company or employer), or do not download, create an account, or use this App. For more information over controls you may have over your Personal Data, see the Policy section on Your Rights Relating to Your Personal Data.
- Information We Collect Automatically Through Data Collection Technologies
When you interact with our App, we may use automatic data collection technologies to collect information about your device, your usage, and the functionality of the App. This information is not part of Customer Data but is data we use to ensure that the App is functioning properly both in-App and with the Services, for troubleshooting, and to make changes or improvements, among other legitimate business purposes. See the Policy section on Our Purposes and Legal Bases for Using Your Data. The user data collected using data collection technologies includes:
- Usage Details. We may automatically collect certain details of your access to and use of the App, including user traffic data, taps, clicks, scrolling information, and other communication data and the features and resources that you access and use on or through the App.
- Data on the App’s Functionality. We collect information such as crash data, performance data, and any other data used to measure technical diagnostics related to the app.
- Device Information. We may collect information about your mobile device and internet connection, including the device’s unique device identifier, operating system name (Android or iOS) and version, device manufacturer and model, browser type, mobile network information, and the device’s telephone number. We may also collect your IP Address. We use data about your device to ensure that the App functions properly, to troubleshoot issues, diagnose server problems, and to otherwise administer the App. We can derive your approximate geolocation (country, region, city) from your IP address.
- Location Information. If a mapping feature is available in the App, and you give the App permission to access your location, we will use your precise geolocation so we can provide you with location-based services. The App uses your device’s precise location to, for example, help you locate, travel to, and/or plan a tour of a property with a prospective resident. - Other Information We Collect
- Data about other individuals.If you provide Personal Data about other individuals to us, this information is part of Customer Data. You and/or the Customer, not Aline, are responsible for providing notice and obtaining consent from such individuals as may be required by law.
- Anonymized Data. We collect information that is not Personal Data because it does not identify you, including anonymized or aggregated data.
- Publicly Available Data. We may combine data from other publicly available sources with personal and other information we collect from you in this App.
- Data Collected From Your Device by Cookies & Other Technologies
The App integrates certain cookies, applications, Software Development Kits (“SDKs”), and other technologies (collectively “Technologies”) that we or a third-party developed to automatically collect certain data, including Personal Data, from your device or browser. We use this data to assist us with App functionality, troubleshooting, authentication and security, and to make changes or improvements in the App. These Technologies include, without limitation:
- OAuth Single Sign-On (SSO). When you log in, the App places a persistent cookie on your browser to authenticate you and keep you logged in during a session. This cookie is not used to track your behavior in the App nor to target you for advertising. These cookies are strictly necessary to uniquely identify you when you are logged in, which is essential for the security of the App.
- You cannot opt out of these strictly necessary cookies.
- Twilio SDK. The App integrates the Twilio SDK to record and transcribe messages, voice calls, and video chats. The Twilio SDK also allows the App to manage consent for recording voice calls, text-based messages, and chats between you and another party as may be required to comply with laws that require consent. Twilio has committed to only process the information collected on our behalf for App-related purposes.
- The Twilio SDK is necessary for the App to function as intended under our Customer Agreement. If you deny permission for the App to access your microphone, camera, and/or media, you will not be able to use the recording and transcription features of the App and the App will not function as intended. You should discuss any concern you have about this recording feature of the App with the Customer.
- Heap SDK. The App uses the Heap SDK to collect data regarding how you are using the App, such as where you tap, click, and scroll, and which App features and resources you access and use. We can identity you via the Heap analytics tools, which serves a legitimate business purposes under our Customer Agreement. Heap may collect your approximate geolocation (country, region, city) from the IP Address of your device without capturing your precise location to assist in providing us with user analytics. Heap has committed to only process the information collected on our behalf for App-related purposes.
- The Heap SDK serves a legitimate business interest to administer, improve and provide the App and Services to the Customer. We do not sell or share data collected by Heap for behavioral profiling.
- Sentry SDK. The App uses the Sentry SDK to monitor the App for crashes, errors, stability, and performance issues. Sentry helps us diagnose and debug issues with the App faster. Sentry may show us replays of real user sessions, without exposing your identity, to understand when, where, and how an error is impacting the App. Sentry has committed to only process the information collected on our behalf for App-related purposes.
- The Sentry SDK is strictly necessary and serves a legitimate business interest to monitor the App for performance issues to ensure the App performs as intended and expected by the Customer (your company or employer).
- Firebase by Google SDK. The App uses Google’s Firebase SDK as a bridge between our backend server and user devices to send alerts or short messages called “push notifications” to the user’s device even when the App is not in use. Push notifications can be automated reminders that users set in the App, messages from other users at your company, or messages about App updates. Firebase collects limited analytics, including your approximate geolocation (country, region, city), to send push notifications to the correct device. Google only uses data transmitted through Firebase to deliver messages to the correct devices.
- The Firebase SDK serves a legitimate business interest in ensuring the App performs as intended by the Customer by delivering timely notifications to or from you and other individuals authorized by Customer to use the App and Services. You can deny permission by the App to access your device location but you will not be able to receive or send notifications using the App. You should discuss any concern you have about the push notification feature of the App with the Customer (your company or employer).
- Google Maps API. If the App has a mapping feature, the App has integrated Google Maps API. Google Maps accesses the precise location of your device to, for example, help you locate and plan a tour of a property with a prospective resident. You will have access to this feature only if you give the App permission to access your precise location.
- If you do not want Google to access your precise location, then you should deny the App’s request for permission to access location data. If you deny access to location data, you will not be able to use this feature in the App. Please read the Google Maps/Google Earth Additional Terms of Serviceand Google Privacy Policy to understand how Google collects and uses information through Google Technologies integrated into developer apps.
Behavior Profiling Technologies. Technologies that track users across third-party websites, apps, or other online services to target them with interest-based advertising or for other user behavior-based purposes is referred to as “Behavioral Profiling.” We do not use Behavioral Profiling Technology to target you with advertising nor do we profit from or earn revenue by sharing or selling user data in this App to third parties. The Technologies described above are not used by us for behavior profiling. Nevertheless, if you have a concern regarding whether any of these third-parties may be using Personal Data in this App, in your device settings, you can turn off “Allow Apps to Request to Track,” to prevent third-party apps from tracking your behavior across other companies’ apps and websites while still allowing our App to function on your device. For additional rights you may have, see this Policy’s section on Your Rights Related to Your Personal Data.
- Our Purposes and Legal Bases for Using Your Data
We use personal data as necessary for the performance of our Services for our Customers; to comply with our legal and contractual obligations (“Legal Obligations”); to support our legitimate interests in maintaining and improving the App and Services (e.g., in understanding how our Services are used and gaining insights which help us dedicate our resources and efforts more efficiently); providing customer services and technical support; and protecting and securing our users, Customers, ourselves, the App and Services (collectively, “Legitimate Interests”).
General Purposes. We process Personal Data for the following general Legitimate Interests:
- Provide you and the Customer with the Services, including the Customer Data described at the end of this Policy in Customer Data & Data Controller/Processor.
- To provide you with any information, products, or services that you request from us.
- Fulfill any other purpose for which you and Customer provide it.
- Give you notices about the status of your account. For example, if you cease to be affiliated with the Customer who authorized you to use the App, or if the Customer Agreement is terminated, we may use your Personal Data to notify you that access to the App is no longer available.
- Carry out our obligations under our Customer Agreement.
- Enforce our rights arising from a violation of the End User License Agreement and Terms and Conditions applicable to this App.
- Notify you when App updates are available, and of changes to any features or functions of the App, or of new products or services we offer or provide though the App.
- Understand and analyze how you use the App and what features and functions, products or services are most frequently used by you or appear relevant to you.
Administration, troubleshooting, and improvement purposes. We also process the data in the App, including Personal Data, based on Legitimate Interests to administer, troubleshoot, improve, and provide you and Customer with the App and Services, including, without limitation, to:
- Analyze trends and usage, assess capacity requirements, troubleshoot, debug, and improve App performance and features;
- Identify Customer opportunities and conducting surveys, building models and training App algorithms to allow us to better serve you, other users and Customers, to personalize content and features for you, and for research and development activities for new products and services;
- Store information about your preferences, which also allows us to customize or change the App in consideration of how the App is used.
- Keep the App and the Services secure, including through identity management and security monitoring to detect, prevent and respond to suspicious activity, fraud, intellectual property infringement, misuse of the App or the Services, violations of our terms or law and for other similar purposes.
Features, Functions, and Customer Data Use Purposes. Providing the App with certain Personal Data also serves the Legitimate Interests of ensuring that the App’s features function as intended and expected by both you and the Customer, including:
- Access to recordings of calls you make allows the App to transcribe or summarize the call for actionable insight, including pre-draft emails and text messages for personalized communications with leads.
- Access to your device contacts and calendar allows you to use the App’s “Smart Next Steps” function to assist with lead follow-up.
- Access to your device calendar to synchronize your calendar with the App’s calendar.
- Access to your voice via the microphone on your device enables the App’s speech-to-text functionality.
- Access to your device location which allows you to use a map to find or drive to prospective customers and residential properties.
- Provide any other Customer Data. See the section on Customer Data at the end of this Policy.
Location information use purposes. If you give the App permission, information about your approximate or precise location is collected within the App for the Legitimate Purpose of synchronizing real-time location data with the web-based Services, providing push notifications, and providing location services for you to locate resident properties via Google Maps.

- Disclosure of Your Information
We may disclose aggregated information about App users, and information that does not identify any individual or device without restriction.
In addition, we may disclose Personal Data that we collect or you provide to us:
- To our subsidiaries and affiliates.
- To contractors, service providers, and other third parties we use to support our business and who are bound by contractual obligations to keep Personal Data confidential and use it only for the purposes for which we disclose it to them.
- To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of the Company’s assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Data held by the Company about our App users is among the assets transferred.
- To fulfill the purpose for which you provide it. For example, if you give us an email address or phone number for our pre-drafted email or text message function, we will transmit the contents of that email or text message and your email address or phone number to the recipients. If you give us access to location data on your device, this enables access to push notifications and map services.
- For any other purpose disclosed by us when you provide the information.
- With your consent.
We may also disclose your Personal Data:
- To comply with any court order, law, or legal process, including to respond to any government or regulatory request.
- To enforce our rights and obligations in the Customer Agreement or in any agreement between you and us, including the End User License Agreement/Terms of Service.
- If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of the Company, our customers, or others.
- Your Rights Relating to Your Personal Data
You may have certain rights relating to your Personal Data under the laws of the state, territory, or country in which you reside or are in when you are using the App. Depending on the applicable laws and, in particular, if you reside in the European Economic Area (EEA), or in California, these rights may include:
- To access your Personal Data held by us;
- To rectify inaccurate Personal Data and, accounting for the purpose of processing the Personal Data, ensure it is complete;
- To delete your Personal Data;
- To restrict our processing of your Personal Data;
- To transfer your Personal Data to another controller;
- To object to any processing of your Personal Data carried out on the basis of our legitimate interests.
- To not be subject to a decision based solely on automated processing, including profiling, which produces legal effects; and
- To the extent we base the collection, processing and sharing of your Personal Data on your consent, to withdraw your consent at any time, without affecting the lawfulness of the processing based on such consent before its withdrawal.
To exercise your rights in connection with Personal Data processed by Aline on its own behalf, please contact us by using the information in the “Contact Information” section, below. To exercise your rights with respect to Customer Data processed by the Services on behalf of your affiliated Customer, please inquire with your affiliated Customer directly.
Some users may be able to update their user settings, profiles, and organization settings by logging into the App on their device and editing their settings or profiles. For example, in your device settings for iOS devices, you can turn off “Allow Apps to Request to Track,” to prevent third-party apps from tracking your behavior across other companies’ apps and websites while still allowing our App to function on your device.
- Data Retention
Aline may retain your Personal Data for a period of time consistent with the original purpose of collection (see the “Our Purposes and Legal Bases for Using Your Data” section above).
- Data Security
Aline takes reasonable and appropriate steps to protect the security of Personal Data against unauthorized or unlawful access, use, destruction, loss, alteration or disclosure, including encryption as appropriate. However, please be aware that regardless of any security measures used, we cannot and do not guarantee the absolute protection and security of any personal data stored with us or with any of the third parties supplying the App with Technologies as described above.
- Changes to Our Privacy Policy
We may update and amend this Policy from time to time by posting an amended version on this webpage. The amended version will be effective as of the date it is published. If we make material changes to how we treat our users’ Personal Data, we will give notice as appropriate under the circumstances, which may include posting a notice on our Home page or sending you an email. Your continued use of this App after we revise this Policy means you accept those changes. The date this Policy was last revised is identified at the top of the page. You are responsible for periodically visiting this Policy to check for any changes.
- Children Under the Age of 18
The App is not intended for children under 18 years of age. If you are under 18, do not access, use or provide any information on this App or through any of its features unless the Customer, as the data controller, has first obtained the required consent under applicable law. We do not knowingly collect Personal Data from children under 18. If we learn we have collected or received Personal Data from a child under 18 without verification of parental consent, we will delete that information. If you believe we might have any information from or about a child under 18, please contact us using the Contact Information section, below. If you are under age 18 and a Customer has asked you to use this App, please contact the Customer (your company or employer) to discuss your rights under laws that protect the Personal Data of minors.

- Customer Data & Data Controller/Processor
As between the Customer and Aline, the Customer is the Data Controller for Customer Data and Aline does not process that Customer Data except as provided in the Customer Agreement. Personal Data and other data submitted by or on behalf of a Customer to the Services through the App, excluding Content and Non-Aline Applications, is considered by Aline to be Customer Data.
Aline’s Customers have a right to access Customer Data in the App and Services and in Customer devices. Customer Data includes Personal Data and other data submitted by you or by a third party on behalf of Customer to the Services through the App. This Policy does not apply to any information that the Customer may access on a Customer-owned or issued device on which you download and use this App. If you have questions or would like to exercise your legal rights regarding Customer Data, or access by Customer to any data you input into the App, please contact the Customer (your company or employer).
As explained above in this Policy, the App will require your permission before the App can use or collect certain Customer Data that is necessary to enable access to or use certain App features. This may include, without limitation:
- Phone numbers, email addresses and other contact information from your device’s address book;
- Call or text histories or other telephony log information collected from your device’s telephone service or app[s), such as phone numbers, time, date and duration of calls, SMS routing information, and types of calls;
- Scheduling information collected from your device’s calendar app(s);
- Facial characteristics and other physical identifiers collected through your device’s camera(s);
- Voice recordings collected through your device’s microphone(s);
- Precise geolocation data collected from your device.
